Sign people up on paper, by phone, or without an email

Some of your most faithful volunteers will never click a link. They sign up on the clipboard at the welcome desk, or they call the office. Here's how to get them onto the sheet so the slot is really claimed and the reminders still go out.

The short answer: Add anyone yourself with + Add person under a slot on the sheet's Slots tab — they get the normal confirmation email and show up everywhere a self-sign-up would. For people with no email, make email optional on the sheet (Questions tab) and fill in the public form for them; they're on the sheet, they just get no emails.

Add someone by hand

  1. Open the sheet's Slots tab

    Every slot has a + Add person link under it.
  2. Fill in what they told you

    Name and email, an optional phone number, how many spots they're taking, and the same note the public form asks for (“bringing the chili”), so a phone-in sign-up looks exactly like one they entered themselves. On an RSVP question you record their yes or no and headcount; on a carpool question, whether they're driving and how many seats.
  3. Save

    They appear on the Sign-ups tab right away and get the usual confirmation email with their own change-or-cancel link. On Pro, they sync to your ChMS like anyone else.
Adding someone works on an unpublished or archived sheet too — the phone rings regardless of publish state.

Run a paper sheet at the door

A clipboard still has its place: a one-time event with a crowd at the door, or a congregation that would rather write than tap. The pattern that works is paper first, dashboard after:

  • Print the public page from your browser for a sheet that already shows the slots and who's taken them. (A formatted PDF export is on the roadmap.)
  • Put the sheet's QR code on the same table — anyone with a phone signs themselves up and skips the re-typing.
  • Afterward, key the paper names in with + Add person. Each one gets a confirmation, which doubles as proof you read their handwriting right — a bounced or unanswered email is your cue to check.

People who don't have an email

The + Add person card asks for a valid email, because that address is how the volunteer gets their confirmation and reminder, how they change or cancel, and how a ChMS match is made. For someone who genuinely has none:

  1. On the sheet's Questions tab, open Sign-up form fields and set email to Optional.
  2. Open the public page yourself and sign them up, leaving the email blank. (Untick “Remember my details on this device” so their name doesn't pre-fill your next form.)

A sign-up with no email takes its spot like any other and shows on the Sign-ups tab and the CSV, but gets no confirmation, no reminder, no change-or-cancel link, and is never synced to your ChMS. You're their reminder. Leaving email optional also means volunteers who sign themselves up can skip it, so turn it back to Required when the sheet doesn't need the exception.

Common questions

Does someone I add by hand get the confirmation email?
Yes — the same one they'd get signing up themselves, with the calendar invite, any private details, and their own change-or-cancel link. On Basic and Pro they get the reminder too, and on Pro they sync to your ChMS like any other sign-up.
Can I add someone who doesn't have an email address?
Not from the + Add person card — it asks for a valid email so the person can be reached and matched. Instead, make email optional on the sheet (Questions tab → Sign-up form fields) and fill in the public form for them, leaving email blank. They're on the sheet; they just get no emails.
Can I turn on text reminders for someone I add?
No. Text consent is the volunteer's alone — only the person ticking the box on the public form can opt in. A sign-up the office enters never sends texts, and that's on purpose.
Is there a printable version of a sheet?
A formatted PDF export is on the roadmap. Today, print the public page from your browser for a clipboard with the slots and who's on them, or download the CSV (Basic and Pro) for a spreadsheet you can lay out yourself.
What if I accidentally add the same person twice?
The card refuses a second entry for the same email on the same slot. If you added someone to the wrong slot, use the slot menu on the Sign-ups tab to move them (they get an email with the new details), or open the pencil and choose Remove without emailing them to take a stray entry off quietly.
