Organize your dashboard: folders, grid view & sorting
Three services, four quarters, a meal train, and the Messiah volunteers — once a church has more than a handful of sheets, the dashboard turns into a long scroll. Folders put sheets under headings you choose, the grid view packs them two or three across, and the sort menu puts the next event on top.
Put sheets in folders
Create a folder.
On the dashboard, click + New folder in the toolbar next to the search box, type a name — “Fall 2026,” “Traditional worship,” “Meal trains,” “Kids” — and click Create folder. The folder appears as a heading with nothing in it yet.
File a sheet.
Every sheet card has a Folder menu next to Duplicate and Archive. Pick the folder and the sheet moves under that heading right away. The same menu is at the top of the sheet's own page.
In a hurry? Pick New folder… from that menu instead: type the name, click Create, and the folder is made with that sheet already in it.
Rename or remove a folder.
Each folder heading has Rename and Delete folder beside it. Deleting a folder asks once, then sends its sheets back to the main list — the sheets themselves are never deleted.
Folders list A–Z, with any sheets you haven't filed under a Not in a folder heading at the end. Within each folder, sheets follow whatever sort you've chosen. Pick No folder from a sheet's menu to take it back out.
Click a folder's name to collapse it — last quarter's rota can stay filed without taking up the screen. Click again to open it. Which folders are collapsed is remembered in that browser, so the dashboard opens the way you left it.
Two things come along for the ride: Duplicate puts the copy in the same folder as the original, and a recurring sheet's next occurrence stays in its folder each week. The Archived section at the bottom stays one flat list whatever folders you have, and a restored sheet reappears under its folder.
List or grid
Next to the Sort by menu is a List / Grid switch. List is the one-sheet-per-row view the dashboard has always had. Grid shows the same cards as tiles, two across on a laptop and three on a wide screen, with the Live / Draft badge up top and Duplicate, Archive, and the Folder menu along the bottom — so a church with twenty sheets sees most of them without scrolling. Phones stay one across either way.
Your choice is remembered in that browser, and search results and the archive use it too.
Sort by date, newest, or title
The Sort by menu orders sheets by Event date (soonest first; sheets with no date, like connect cards, at the end), Newest first, or Title A–Z. It applies inside every folder and to search results, and the dashboard remembers it per browser. Sheets whose slots carry their own dates — meal trains, flower calendars — sort by their next upcoming date.
Finding a sheet across folders
The search box above the list looks through every sheet, slot, and person at once, folders or no folders — type part of a title, a slot name, or a volunteer's email. Results come back as one list (with each card's Folder menu, so you can file as you go). Clear the search to get your folders back.
Common questions
- Which plans include folders and the grid view?
- All of them, including Free. Owners and admins can both create, rename, and delete folders and file sheets into them.
- Does putting a sheet in a folder change its public page or link?
- No. Folders are only for your dashboard. The sheet's link, QR code, embed, plan limits, and ChMS sync are all exactly as they were.
- What happens to the sheets in a folder I delete?
- They go back to the main list. Deleting a folder never deletes, archives, or unpublishes a sheet, and nobody's sign-ups are touched.
- Can a sheet be in two folders?
- No — one folder per sheet, like a file on your computer. Use the search box when you want to find sheets across folders.
- Do duplicates and recurring sheets keep the folder?
- Yes. Duplicate a sheet and the copy lands in the same folder; a recurring sheet's next occurrence stays in its folder too.
- Where did my archived sheets go?
- The Archived section at the bottom of the dashboard still lists every archived sheet in one flat list, whatever folder it was in. Restore one and it reappears under its folder.
- Does the dashboard remember List or Grid?
- Yes, per browser — the same way it remembers your sort order. Pick Grid on your office computer and it stays Grid there; your phone keeps its own choice.
- Can I hide a folder without deleting it?
- Yes. Click the folder's name to collapse it; its sheets stay filed and the heading still shows how many are inside. Click the name again to open it. Collapsed folders are remembered per browser.
