Getting started: your first sheet, start to finish

Every step below has a longer article of its own; this is the short tour that puts them in order. Allow about ten minutes for the first sheet.

The short answer: Register (no card), click Create a sheet, pick what you're organizing, add your slots, press Publish, and share the link or QR code from the Share tab. Sign-ups email you as they come in and volunteers get a confirmation with a change-or-cancel link. Then add a backup admin and, on Pro, connect your church software.

1. Create your account

  1. Register at signupchurch.com/register.

Your church or organization's name, your name, your email, and a password of at least eight characters. No credit card. The box for product news is optional and off by default.

  2. Check your inbox.

A welcome note from Katie, the founder, arrives. If a colleague already runs SignUpChurch on your church's email domain, your dashboard says so and offers to join their account instead of starting a second one.

2. Build your first sheet

  1. Click Create a sheet.

It's the one button on an empty dashboard, and + New sheet from then on.

  2. Pick what you're organizing.

Volunteer sign-ups (slots with spots to fill), Event RSVP (a yes/no with a headcount), Both, or Just a form (questions with no spots — a connect card, a prayer request). Or skip the blank page: Draft it with AI (Pro), Start from a template, or Import a sheet from SignUpGenius or Jotform.

  3. Give it a title, a date if it has one, and create it.

The sheet opens on its Slots tab. Add a slot for each job or time — “9am Greeter,” “Main dish” — with how many people it needs (or no limit). Group slots under sections, give slots their own dates for a meal train or flower calendar, and lay out a month of Sundays or a day of shifts with the generators.

  4. Ask what you need to know.

The contact fields are name, email, and phone; make phone required or hidden, email optional, and add custom questions — a t-shirt size, allergies — with follow-ups that appear only when an answer calls for them.

The long version, with every option: Create a sign-up form.

3. Make it look like your church (Basic & Pro)

The sheet's Design tab and Dashboard → Design set fonts, colors, spacing, and your logo for every sheet and your church page. Free accounts use the neutral look with a small “Powered by SignUpChurch” line. You can skip this today and come back.

4. Publish and share

  1. Press Publish on the sheet page.

Before that, the link shows nothing to the public; after it, anyone with the link can sign up. You can keep editing a published sheet.

  2. Open the Share tab.

Copy the link for the bulletin, the newsletter, and the group text; download the print-ready QR code for the lobby; grab the embed snippet for your website; and tick Show on your church page so the sheet appears on your one-link church page. Set when sign-ups open and close if the sheet needs a window.

More in Publish, share & embed.

5. Tell your people

On Basic and Pro, Invite your regulars on the sheet page emails a personal invitation to the people on your People page, most faithful first, and the last call goes to everyone who hasn't signed up when spots remain. Arriving from another tool? The owner can paste or upload the church's volunteer list into People first, so there's someone to invite before anyone has signed up. See Invite your regulars & the last-call blast.

6. Watch sign-ups arrive

  • You get an email for each sign-up with the whole submission — name, contact details, every spot, answers — and Reply goes straight to the volunteer. Prefer one daily or weekly roundup? Dashboard → Notifications, or per sheet.
  • The volunteer gets a confirmation with calendar buttons and a change-or-cancel link that's theirs alone. No account, no app. On Basic and Pro a reminder follows two days before (you can pick one day or a week) — and, where texting is switched on, a day-before text if they ticked the box.
  • The Sign-ups tab lists everyone in one place — search it, flip it to a table, move or remove people, download the CSV or print the check-in sheet (Basic and Pro). Full slots take a waitlist on their own.

Every email and its switch: Emails & notifications. The list itself: See everyone who signed up.

7. Add a backup admin

Dashboard → Team → Invite an admin. Every plan includes at least one admin besides you, so the church is never one staff change away from being locked out; Pro has no limit. Admins run sheets and volunteers; billing, the team, and deleting things stay with the owner, who can hand the account over before leaving. Turn on two-factor authentication from Dashboard → Security while you're there.

8. Connect your church software (Pro)

Dashboard → Settings → ChMS Integrations. Planning Center, Church Community Builder, MinistryPlatform are live today. From then on, each person who signs up with an email is matched to an existing record by email or created as a new one — never overwritten — and a sheet linked to a Planning Center Services team places them on the plan too. Start with Connect your ChMS and read What sync updates for exactly what each provider writes and never touches.

Your first upgrade to Basic or Pro starts with 14 days free — long enough to run one real Sunday on it. See Change or pause your plan.

What to try next

  • Put the weekly sheet on repeat (weekly on Basic; daily, monthly, and quarterly on Pro) — it makes next week's copy by itself.
  • Group sheets into folders on the dashboard and set Managed by so a ministry leader hears only about their own sheets.
  • Send sign-ups to a Slack channel (Pro), hand a team leader the read-only roster link, and let volunteers swap spots among themselves.
  • Browse the six templates — potluck, 24-hour prayer vigil, angel tree, interest form, event RSVP, memorial list.

Common questions

Do I need a credit card to start?
No. The Free plan needs no card and includes 3 active sheets, unlimited sign-ups, confirmation emails, and a backup admin. Your first upgrade to Basic or Pro starts with 14 days free; you add a card then.
Can I try it before making an account?
Yes. The sandbox at signupchurch.com/demo lets you build a sample sheet in your browser and see the volunteer page beside it as you type, sign yourself up, and watch the spot fill. Nothing is saved; a refresh starts over.
How long does the first sheet take?
A Sunday serving sheet with a handful of slots takes about ten minutes from registering to a shareable link. A template or the AI builder (Pro) gets the slots laid out for you; you still review the draft before it goes live.
Someone at my church already has an account. Should I make my own?
No — join theirs. Register with your church email and, if an account already uses that domain, your dashboard offers a one-click request to join it as an admin. Any of their admins can approve, and you're in from the link in your email. One account per church keeps every sheet and every volunteer in one place.
We're moving from SignUpGenius or Jotform. Do we start over?
No. On the New sheet screen, paste a public SignUpGenius /go/ link or a public Jotform link and the sheet is rebuilt as a draft — slots, dates, times, and spot counts, or questions with their conditional logic. The owner can also paste or upload your volunteer list straight into People so there's someone to invite on day one.
Is there a person I can talk to?
Yes. The contact page reaches a real human, and from the dashboard you can book fifteen minutes with Katie, the founder, to walk through how sign-ups work at your church. The roadmap shows what's planned and what just shipped.
