Billing: payment, invoices, switching plans & what a downgrade changes

The questions that come from the church office rather than the volunteer coordinator. Pausing for a season, the trial, and upgrading are covered step by step in Change or pause your plan; this article is the rest.

The short answer: Only the account owner sees Billing. Plans are paid by card through Stripe, month to month, in US dollars. Invoices go to the owner's email unless you set a different one in the billing portal. A first upgrade starts with 14 days free. A downgrade takes effect at the end of the period, keeps every sheet and sign-up, and turns off only the paid features listed below.

Who can see and change billing

Dashboard → Billing is the account owner's alone. Invited admins run sheets and volunteers and never see the plan, the card, or the invoices. If the person who set up the account is leaving, have them transfer ownership first: billing moves with it, and Stripe's receipts follow the new owner's email unless the billing email was deliberately set to something else, such as a finance@ address.

How you pay

  • By card, through Stripe. Choosing Basic or Pro on the Billing page opens Stripe's checkout. SignUpChurch never sees or stores your card number.
  • Monthly, in US dollars. Basic is $12/month and Pro is $24/month. The price shown is the amount charged — nothing is added at checkout.
  • Promo codes go in the box at checkout. A church that has earned the refer-a-church discount has it applied for them instead (see the questions below).

Invoices, receipts, and the bookkeeper

Dashboard → Billing → Manage billing opens your Stripe billing portal. Every invoice and receipt is there to download, along with the card on file and the plan.

Stripe emails a receipt for each charge to the billing email — to begin with, the login email of the owner who subscribed. To send them to your bookkeeper instead, open Manage billing and change the email on the account page to theirs. An address set that way stays put even if ownership is transferred later.

The 14-day trial

A church's first upgrade to Basic or Pro starts with 14 days free. You enter a card at checkout, every feature of the plan switches on right away, and the first charge lands when the trial ends. Downgrade to Free before then and you pay nothing. Each church gets one trial; a later upgrade starts billing on day one. If there is no usable card on file when the trial ends, the subscription simply ends and the church goes back to Free.

Switching between Basic and Pro

Pick the other plan on the Billing page and it changes immediately. Stripe prorates the difference for the rest of the current month and puts it on your next invoice — moving up costs the difference, moving down credits it. No new checkout, no new trial.

What a downgrade to Free changes

Choosing Free sets the subscription to end at the close of the current billing period; you keep what you paid for until then. When the period ends, the plan flips to Free and these things change — nothing is deleted:

  • Active sheets. Free allows 3 published sheets at a time (plus any earned from referrals). Sheets already published stay published, even above that number — but you can't publish another until you're under the limit. Unpublish or archive one to make room.
  • Reminder emails stop. Volunteers still get their confirmation, cancel link, and calendar invite; the pre-event reminder (and any text reminders) is Basic and Pro.
  • Recurring sheets stop repeating. The current occurrence keeps taking sign-ups; the next one isn't created. Duplicate it by hand, or upgrade again to resume the series.
  • Your design goes back to the default. Custom colors, fonts, and your logo stop showing on sheets and the church page, and “Powered by SignUpChurch” returns. Your design settings are kept and come back on upgrade.
  • Invitations, the last call, and Message volunteers are unavailable, as are the CSV download and the printable check-in sheet.
  • ChMS sync pauses. The integration stays connected, but new sign-ups aren't sent to Planning Center, CCB, or MinistryPlatform until the church is back on Pro. People already synced stay in your ChMS. Slack posts and the AI sheet builder are Pro too.
  • Admins stay. Everyone already on the Team page keeps their login; you just can't add beyond the Free plan's one backup admin.
Everything else — sign-up windows, the waitlist, swaps, custom questions, plain forms, the church page, the read-only roster link, folders, and sign-ups themselves — is on every plan and keeps working.

A failed or expired card

If a monthly charge fails, Stripe retries the card over the following days and your plan stays on while it does. Update the card under Manage billing and the next retry collects. If the charge can never be collected, the subscription ends and the church drops to Free — the same changes as a downgrade, with everything kept. Subscribe again from the Billing page to pick the plan back up.

Canceling, pausing, and deleting

  • Cancel is the same as choosing Free: it takes effect at the end of the period, and your data stays.
  • Pause for 1–3 months instead when a season is quiet — every feature stays on and nothing is billed. See Change or pause your plan.
  • Delete the account from Dashboard → Security when the church is done with SignUpChurch for good. The subscription is cancelled first so nothing else is charged, then everything is removed; see Your account.

Common questions

Can we pay by check, or get an invoice to pay later?
Not today. Plans are paid by card through Stripe, month to month, and the card is charged on the same day each month. Every charge produces an invoice and receipt you can download for your books.
Is there an annual plan?
Not yet — Basic is $12 a month and Pro is $24 a month, billed monthly. If an annual option would help your budgeting, tell us from the contact page; it's how we decide what to build.
Do you charge sales tax on top of the price?
No. The amount on the pricing page, in US dollars, is the amount charged.
Can you send us a W-9 or fill in our vendor form?
Email support@signupchurch.com with what your finance team needs and we'll send it.
We have a discount code. Where does it go?
There's a promo-code box at Stripe's checkout when you first subscribe. The one exception: if your church has earned the refer-a-church discount, that reward is applied for you instead, and the box doesn't appear — Stripe won't take both on one checkout.
What's the refer-a-church discount?
Refer three churches that each publish a sheet and your church gets 20% off for twelve months. It's applied automatically on your next upgrade or plan change, and your referrals page shows where you stand.
Does a downgrade delete anything?
No. Every sheet, sign-up, person, and setting stays. A downgrade only changes which features run — the list above says which — and you can upgrade again any time to pick them back up.
We paid and realized we don't need it. Can we get a refund?
Our terms say payments aren't refundable except where the law requires — but if something went wrong, email support@signupchurch.com and we'll try to make it right. If you simply don't need the plan, downgrade to Free: you keep what you paid for until the end of the period and aren't charged again.
