Send sign-ups to Slack

On the Pro plan, each form can post its new sign-ups and cancellations to a Slack channel, so the people running the event see them as they happen, even if they aren’t admins on your SignUpChurch account.

The short answer: Connect your workspace once under Settings → Slack → Connect Slack. Then on any form's Settings tab, find Post sign-ups to Slack, click Choose a channel, tick the fields your team needs, and click Save. Every post includes the volunteer’s name, what they signed up for, and the form title. Email, phone, how many, the note, and each custom question go along only if you tick them.

Set it up

  1. Connect your Slack workspace.

    Go to Settings and click Connect Slack on the Slack card. Slack asks you to pick a workspace and allow SignUpChurch to post messages and see your channel list. One workspace per church account; any admin can connect it.

  2. Pick a channel on each form.

    Open the form, go to its Settings tab, and find Post sign-ups to Slack. Click Choose a channel and pick one. Each form has its own channel, so the greeters rotation can post to #greeters and the fall festival to #events. Forms you don’t set up don’t post.

  3. Choose what each post includes.

    Tick any of Email, Phone, How many, Note, and your form’s custom questions, then click Save. Fields the form doesn’t ask for aren’t offered.

  4. Send a test post.

    Click Send a test post to post a sample sign-up, shaped by the fields you saved, so you can see exactly what your team will see.

Private channels

A private channel only shows up in the list after SignUpChurch has been invited to it. In Slack, open the channel and type /invite @SignUpChurch, then click Choose a channel again on the form.

What gets posted, and when

  • Every new sign-up from your public form posts right away, one message per submission listing everything they picked. That’s true even if this form’s sign-up emails are set to a daily or weekly roundup.
  • Every cancellation a volunteer makes from their cancel link posts a short line with their name and the spot they dropped, so your team knows it’s open again.
  • People you add yourself from the dashboard don’t post. You already know about them.
Slack posts are in addition to your sign-up emails, not instead of them. Your dashboard, CSV export, and emails keep working exactly the same, and if Slack is ever down nothing is lost.

If posts stop

If someone removes SignUpChurch from your workspace, or archives or deletes a form’s channel, posting stops and every admin gets one email saying what happened and how to fix it. Reconnect from Settings, or pick a new channel on the form.

Common questions

Which plans can send sign-ups to Slack?
Pro only ($24/mo). If you move to Basic or Free, posting stops but your connection and each form's channel are kept, so it picks up again if you return to Pro.
What does each Slack post include?
Always the volunteer's name, what they signed up for, and the form title, plus a link to see everyone signed up in your dashboard. Email, phone, how many, the note, and each custom question are only included if you tick them for that form.
Can I post to a private channel?
Yes. In Slack, open the private channel and type /invite @SignUpChurch, then choose the channel again on the form. Private channels only appear in the list once SignUpChurch is a member.
Can different forms post to different channels?
Yes. Each form has its own channel and its own field choices. Forms without a channel don't post.
Do I still get sign-up emails?
Yes. Slack posts don't change your sign-up emails, which follow your notification settings as before. Slack also posts instantly even when a form's emails are set to a daily or weekly roundup.
Who can connect or disconnect Slack?
Any admin can connect Slack and pick channels. Only the account owner can disconnect it, which stops every form from posting.
