Cancel or reschedule an event
Snow day. Pastor's sick. The fellowship hall double-booked. Here's what to click, what updates on its own, and the one thing SignUpChurch can't do for you yet.
Reschedule: new date, time, or place

See below. Their confirmation email shows the date as it was when they signed up, and a calendar invite they already added doesn't update itself. On Basic and Pro the reminder about two days out carries the current details and a fresh invite, which catches anyone who missed the news — but not if the new date is further out than that.
Sheets with dated slots (a meal train, a flower calendar) don't have one date to change. Edit the slot instead: the pencil on each slot card changes its date, time, and title. If a night moved and the same people are still bringing dinner, that's all you need. If the people need to change, add a slot for the new date and use the slot menu on the Sign-ups tab to move each person — moving someone emails them the new details, which is the one change here that does notify the volunteer.
Cancel: stop the sheet without losing anything
Click Unpublish in the status bar under the sheet's title. The public link stops working, no one else can sign up, and no more emails go out for it — no reminders, no spots-still-open heads-up, no waitlist offers. Every sign-up stays exactly where it was, so if the event is back on, Publish puts it all back in one click.
When it's really over, Archive (on the sheet page, beside Duplicate) does the same and tucks the sheet out of your main list — restorable any time, and the dashboard's archived view still shows it. One-off sheets archive themselves the day after their event anyway.
Removing each volunteer with the ✕ on the Sign-ups tab also works as a cancellation notice — each person gets a short “your sign-up was removed” email — but it reads as exactly that, removal, with no explanation. Send your own message first, then unpublish.
Skip one week of a recurring sheet
Each week (or day, month, quarter) of a recurring sheet is its own occurrence, titled with the date — “Sunday Greeters | Oct 12, 2026.” To skip one, unpublish that occurrence. The series carries on: on the event day the next occurrence is created as usual. It inherits the publish state of the one it came from, though, so it will appear on your dashboard as a draft — open it and Publish when you're ready to take sign-ups again. (Archiving an occurrence instead would end the series.)
Telling everyone
SignUpChurch doesn't yet send a message to everyone on a sheet — it's first in line on the roadmap. Until then:
- The sheet's Sign-ups tab lists every person with their email and phone, grouped by slot — switch to the table view and the emails are one column.
- On Basic and Pro, Download as CSV gives you the same list to paste into the BCC line of your own email.
- For a small sheet, reply to the new-sign-up emails you received: each one's reply-to is the volunteer.
- If the event is moving rather than off, the Sign-ups tab's slot menu moves people to a new slot and emails them the new details — a notification you get for free when the slot itself changes.
Running it again later? Duplicate the sheet from its page and you start from a clean copy with the same slots, sections, questions, and design.
Common questions
- If I change the date, do volunteers get an email?
- Not automatically. The public page, the Sign-ups tab, and any reminder still to come show the new date, and on Basic and Pro the reminder about two days out carries a fresh calendar file. But the confirmation they already have shows the old date, so for a change that matters, tell people yourself — see “Telling everyone” below.
- Does unpublishing cancel people's sign-ups?
- No. Unpublish takes the public page down and stops new sign-ups, reminders, the spots-still-open heads-up, and waitlist offers — but every sign-up stays on the sheet. Publish again and everything resumes. Only Delete removes sign-ups, and only the Owner can delete.
- What's the difference between unpublish, archive, and delete?
- Unpublish: page down, sign-ups kept, one click to bring back. Archive: unpublished and tucked out of the main dashboard list, sign-ups kept, restorable any time — one-off sheets do this themselves the day after the event. Delete: gone, with every sign-up on it, and Owner-only for that reason.
- How do I skip one week of a recurring sheet?
- Unpublish that week's occurrence. The series still creates next week's copy on the event day, but a copy inherits the publish state of the one it came from, so it will arrive as a draft — open it from the dashboard and publish it. Or leave this week published and simply tell people it's off.
- We postponed with no new date yet. What should I do?
- Unpublish, so nobody signs up for a day that isn't happening, and leave the sign-ups where they are. When the new date is set, Edit details, change the date, publish, and tell everyone. Remember a published sheet counts toward the Free plan's three active sheets; an unpublished one doesn't.
- Can I email everyone on the sheet from SignUpChurch?
- Not yet — it's first in line on our roadmap. Today, the Sign-ups tab lists every email, and on Basic and Pro the CSV download gives you the list to paste into your own mail client.
