My sheet stopped taking sign-ups, or won't publish

Match what the volunteer sees to the list below. The windows, lock, and limits themselves are explained in Publish, share & embed and Create a sign-up form.

The short answer: A published sheet refuses sign-ups only for a reason it states on the page: the window hasn't opened or has closed, the sheet is locked, a spot is full (the waitlist takes over), a dated spot's day has passed, the person has hit the spots-per-person cap, or they're already on that spot. A sheet that says “not found” is unpublished. A Free church can publish 3 sheets at a time.

What the volunteer sees, and why

  • “Sign-ups open on …” — the sheet's open time hasn't arrived. Every spot shows read-only until then. Settings tab → sign-up window.
  • “Sign-ups for this sheet have closed” — the close time passed. Clear or move it on the Settings tab to reopen. Times are in your church's time zone, set once on the same tab.
  • “This sheet is locked” — an admin locked it. Unlock from the Settings tab.
  • A spot shows Full — every space on it is taken. Volunteers can join the waitlist (on by default) and the first in line is offered a spot when one frees up. Raise the spot's capacity on the Slots tab to take more.
  • A dated spot shows as closed — a slot with its own date stops taking sign-ups the morning after that date, US time. If the sheet sets a lead time on its Settings tab (“flowers must be claimed by Wednesday”), it stops that many days earlier.
  • “You've already signed up for this spot” — the same email is already on it. They can take other spots; to change this one, the link in their confirmation email does it.
  • “This sheet allows N spots per person” — the sheet's spots-per-person cap, counted by email across the whole sheet. Raise or clear it on the Settings tab. People you add yourself are never capped.
  • “Too many sign-ups right now” — the rate limits that keep one address from being flooded: thirty sign-ups in ten minutes from one network, five a day to one email address. A whole congregation on church wifi fits; a clipboard keyed in under one email doesn't (see the questions below).
  • “Not found” — the sheet is unpublished or archived, or the address is wrong.

Why it won't publish

On the Free plan, 3 sheets can be published at a time, plus any extra earned by referring churches. Pressing Publish on one more sends you to the Billing page with a note saying so. Unpublish or archive a sheet that's done to make room — archiving keeps every sign-up — or move to Basic for unlimited sheets. An archived sheet can't be published until it's restored.

Published sheets above the limit after a downgrade stay published; the limit only stops new ones. See what a downgrade changes.

Common questions

Can volunteers still cancel after the sheet closes?
Yes. Closing stops new sign-ups and changes; the cancel link in their email still works so nobody is trapped. Only a locked sheet refuses cancellations too — lock it when the printed schedule is final.
The page says the sheet can't be found.
The sheet is unpublished or archived, or the link is wrong. Publish it from the sheet page (unarchive first if it was archived). A renamed link keeps a redirect from the old address, so an old QR code still works — a mistyped one doesn't.
I'm keying in a clipboard and after a few names it says “too many sign-ups.”
The public form allows five sign-ups a day from one email address and thirty in ten minutes from one network, so one address can't be used to bomb an inbox. Don't use the public form for this — use Add a person on the sheet's Slots tab, which has no such cap and lets you leave the email blank.
I changed a slot and a volunteer still sees the old time.
The public page updates the moment you save. If they see the old time, they're reading an old email or a stale tab: ask them to refresh, or check the Sign-ups tab yourself. When you move a date, time, or place, the editor offers to email everyone affected with the change and a fresh calendar invite — tick it and they'll have the new details in their inbox.
The sheet is published but a volunteer gets “no longer available” when they confirm.
Between picking a spot and confirming, something changed: the spot filled, its date passed its cutoff, the window closed, or an admin removed the slot. The page refreshes with the current state; they pick again.
The bot check keeps failing for someone.
The sign-up form runs a quiet bot check. A VPN, a privacy extension, or a very old browser can trip it. Have them refresh, try another browser, or turn the extension off for the page — or add them yourself from the Slots tab.
