Emails & notifications

SignUpChurch sends two kinds of email: messages to volunteers about their own sign-ups, and messages to you and your fellow admins so the sheet runs itself without anyone camping on the dashboard. Here's every email, when it goes out, and where to turn each one off.

The short answer: Volunteers get confirmations (every plan) and a reminder about two days before their slot (Basic & Pro). Admins get an email per sign-up, a heads-up a few days out when spots are still open, and a Monday summary — all on by default, all controlled from Notifications in your dashboard.

What volunteers receive

  • Confirmation (every plan) — the moment they sign up: everything they picked, the date and location, a calendar invite, and a link to change or cancel their own sign-up.
  • Reminder (Basic & Pro) — about two days before the event (or before their slot's own date on meal trains and flower calendars), with the same details and calendar links. One email covers everything they signed up for that day.
  • Change & cancellation notes — if you remove or move someone from the dashboard, they're told; if they cancel themselves, they get a confirmation of that too.
  • Waitlist emails (every plan) — joining a full slot's waitlist gets a receipt with their place in line, and when it's their turn they get the offer with a 24-hour claim window. Offers go to one person at a time, never everyone at once — see the waitlist article.
  • Invitations from your church (Basic & Pro, sent only when an admin presses the button) — a personal invite to a new sheet, or the once-per-sheet last-call email listing open spots. Only people already on your People page, never twice per sheet, and every one carries a one-click opt-out — see the invitations article.
Volunteers never need an account, and SignUpChurch never sends them marketing email — they get messages about their own sign-ups, plus invitations their church chooses to send (each with a one-click opt-out).

What admins receive

  • New sign-up emails (every plan) — the moment someone signs up, every admin gets the whole submission: name, contact details, each slot or answer, quantities, and notes. Reply to the email and you reach the volunteer directly.
  • Spots-still-open heads-up (every plan) — a few days before a form's event day, if capacity-limited spots are still unclaimed, one email lists them with a link to your public page — enough runway to drop the link in the bulletin or group chat again. It's sent at most once per sheet (a recurring form gets one per occurrence), and never for forms that are already full.
  • Monday summary (every plan) — one email at the start of the week: how many sign-ups came in last week, from how many people, and how full each of your live forms is.
  • Cancellation notices — when a volunteer cancels themselves, so a dropped spot close to the event doesn't go unnoticed.

Turning things on and off

Everything lives on Dashboard → Notifications:

  • New sign-up emails — the account-wide switch. It also covers the spots-still-open heads-up: a church that mutes sheet emails gets neither. Each sheet's editor has a New sign-up emails card that overrides the account setting for that one form.
  • Monday summary — its own switch, account-wide.

Volunteer confirmations can't be turned off — a sign-up without a receipt leads to no-shows — but you can make email optional on a sheet (see Create a sign-up form), and sign-ups without an email address simply get no emails at all.

Common questions

Why didn't a volunteer get a reminder email?
Reminder emails are a Basic & Pro feature — Free sheets send confirmations only. A reminder also needs an email address (email-optional sheets can have sign-ups without one), and someone who signed up moments ago just got a confirmation with the same details — their reminder follows a few hours later if the event is still ahead. RSVP “no” answers never get reminders.
Can I turn off emails for just one form?
Yes. The New sign-up emails card on that sheet's editor overrides the account-wide setting for that form only — the override covers the per-sign-up notices and the spots-still-open heads-up for that sheet.
When does the Monday summary arrive?
Monday morning (US time). It only goes out when there's something to say — if you have no live sheets and no sign-ups from the past week, no email is sent.
Do volunteers ever get marketing email?
Not from us, ever. Volunteers receive emails about their own sign-ups (confirmations, reminders, cancellation links, waitlist offers) plus invitations their own church chooses to send — personal sheet invites and the last-call blast — each with a one-click link to stop those. SignUpChurch's marketing email goes only to church admins who opted in at registration.
