for volunteers
Every email you can get from SignUpChurch
Every one of these comes from a signupchurch.com address on behalf of your church, names the sheet in its subject, and carries your change-or-cancel link where it applies. If one you expected didn't arrive, start with I didn't get my confirmation email.
The short answer: Signing up for a sheet gets you a confirmation, maybe a reminder a couple of days before, and a short note if you cancel. The church can also write to everyone on the sheet, or tell you when a time changes. That, plus waitlist and carpool notes and an optional text, is the whole list — no newsletters, ever.
Every email you can get
- Confirmation — right after you confirm. Lists every spot you took, the when and where, anything the church wrote for confirmed volunteers only, calendar buttons, and a link under each spot to change or cancel it.
- Reminder — a day, two days or a week before (the church picks), on sheets that send one. Same contents, so you can still cancel from it.
- Cancellation — a short note confirming you canceled.
- A message from your church — something the church wrote to everyone signed up on the sheet: parking, what to wear, a thank-you. It names who wrote it, and replying reaches them. Your own sign-ups are listed under it with their links.
- Your sign-up has changed — when the church moves the date, time, or location of something you signed up for. It lists the old and new details for each of your spots, with fresh calendar buttons and a link to cancel if the new time doesn't work. The church chooses whether to send it.
- Moved or removed — if the church moves you to another spot, you're told, with the new spot named. If they take you off the sheet, they choose whether to email you.
- Swap — on sheets where the church allows it, a note when someone on another spot asks whether you could trade, with a one-click yes; and a confirmation to both of you when a swap goes through.
- Waitlist — one when you join (with your place in line) and one if a spot opens and it's your turn. See You're on the waitlist.
- Carpool — drivers hear when someone takes a seat in their car, with the rider's contact details to sort out pickup.
- Text reminder — one text the day before, only if you ticked the box on the form. Reply STOP to stop. See Text reminders.
That's the whole list. Nothing else, ever — no newsletters, no “other sheets you might like.”
Common questions
- When does the reminder email come?
- About two days before your spot's date, unless the church set the sheet to the day before or a week ahead — and only on sheets that send one (it's a feature of the church's plan, so not every sheet does). It lists everything you signed up for that day, with the same calendar buttons and change-or-cancel link as the confirmation. RSVP “no” answers don't get reminders.
- I canceled — why did I still get a reminder?
- You shouldn't, for the spot you canceled. If you had several spots and canceled one, the reminder covers the ones you kept. If you're sure it's the one you canceled, the cancel may not have gone through — open the link again and check whether it says “Already canceled.”
- Will I get marketing email because I signed up?
- No. Volunteers only ever get email about their own sign-ups. SignUpChurch never adds volunteers to any mailing list, and never shares your address beyond the church whose sheet you signed.
- I didn't get my confirmation. Where is it?
- Check spam and promotions first — the subject names the sheet. If you left the email box blank on a sheet that made it optional, none is coming. The full checklist, including what to do about a mistyped address, is in “I didn't get my confirmation email.”
