I didn't get the email when someone signed up
Every admin email and where it's controlled is laid out in Emails & notifications. This is the short path for the moment one didn't arrive.
The short answer: The sign-up email is decided in three places: the sheet's own New sign-up emails setting (which can be off or a daily/weekly roundup), the account-wide default on Dashboard → Notifications, and your personal Just for you mute. On a sheet with Managed by set, only the manager and the owner are emailed. Sign-ups you add yourself never email you.
Check these, in order
- The sheet's own setting. Open the sheet, Settings tab, New sign-up emails. It can follow the account, be off for this sheet only, or be a daily or weekly roundup — in which case nothing arrives at the moment of the sign-up; it comes in the next roundup.
- The account-wide default. Dashboard → Notifications sets what every sheet does unless it overrides. If it's off or on a roundup there, every sheet that follows the account behaves that way.
- Your personal mute. The Just for you card on Dashboard → Notifications silences the sign-up and cancellation emails, the Monday summary, or both — for your login only. Your fellow admins aren't affected, which is why they may have the email and you don't.
- Managed by. If the sheet's Settings tab names a manager, its sign-up emails, cancellation notices, roundups, and spots-still-open heads-up go to that manager and the account owner only. Set it to nobody to email every admin.
- Who signed them up. People added from the Slots tab, keyed in from a clipboard, or moved between spots by an admin don't trigger the email — it's for sign-ups that arrive from the public page or embed.
- Spam or a filter. The email comes from SignUpChurch with the volunteer as Reply-To, which some filters find unusual. Look in spam, and add our sending address to your contacts; it's listed in Is this email really from SignUpChurch?.
The other admin emails, and when they come
- “Your sheet is full” — once, the moment the last limited spot is taken. Follows the same sign-up email setting.
- Spots still open — about three days before the event when limited spots remain, once per sheet, only while the sheet is open for sign-ups.
- Monday summary — Monday morning, US time, only when there are live sheets or last week's sign-ups to report. Its own switch is on Dashboard → Notifications.
- ChMS sync issue — sent to every admin whenever a provider reports a problem, ignoring mutes, because a broken integration isn't a preference.
Nothing is lost when an email doesn't arrive. Every sign-up is on the sheet's Sign-ups tab the moment it happens, and the dashboard counts it.
Common questions
- My co-admin got the email and I didn't.
- Two things differ per person: the Just for you mute on Dashboard → Notifications (yours only), and Managed by on the sheet — a managed sheet emails its manager and the account owner, not every admin. Check both; everything else about the setting is shared.
- When does a daily or weekly roundup arrive?
- In the morning, US time — daily ones every day, weekly ones on Mondays. A roundup lists every sign-up since the last one, with the same detail an instant email carries, plus anyone who gave a spot back. A form with nothing new sends nothing at all.
- I switched a form to a roundup and the sign-ups from before didn't show up in it.
- That's by design. Switching starts the clock then and there, so the first roundup covers what comes after it rather than replaying sign-ups you already got one by one.
- Do I get an email when I add someone myself?
- No. You added them, so there's nothing to tell you. The volunteer still gets their confirmation (if they have an email), and the sign-up still syncs to your ChMS and counts on the dashboard.
- Do I hear about cancellations?
- Yes, through the same setting: an instant form emails you when someone cancels, and a roundup form lists cancellations in the next roundup. A spot given back by someone you removed yourself isn't reported — you did it.
- Can I get sign-ups in Slack instead?
- On Pro, each form can post its new sign-ups and cancellations to a Slack channel you pick, whatever the email cadence. See Send sign-ups to Slack.
