who's on this Sunday?

For the team leader, the welcome table, the church that just moved over, and the one who can't make Sunday

Four features, one theme: the people around a sign-up sheet who aren't the admin and aren't a volunteer signing up. The nursery coordinator. The person at the welcome table with a clipboard. The church that just arrived from another tool with a list and no sign-ups. And the greeter who can't make Sunday.

The short version: The Share tab gains a read-only roster link; the Sign-ups tab gains Print check-in sheet; the People page gains Import a list; and a sheet's Settings tab gains Swaps, which lets a volunteer ask the people on other spots to trade, first yes wins.

A link for the team leader

The nursery coordinator needs to know who's on this Sunday. She doesn't need to edit the sheet and shouldn't need a login. Read-only roster link on the Share tab makes a private address you can text her: names, phone, email, and answers, reloads to the latest, prints cleanly, changes nothing. Make a new link or Turn off stops every copy at once. Every plan.

A clipboard for the welcome table

Beside the CSV link, Print check-in sheet lays out every sign-up by slot under its section heading, with phone, how many, each question as a column, the note, and a blank Signed in column. Your browser's Save as PDF turns the same page into the board-packet file we've had on the roadmap as “printable exports.” Basic & Pro, like the CSV.

Someone to invite on day one

Invite your regulars only reached people who had signed up here before, so a church that just moved over had nobody to invite. The owner can now Import a list on the People page: paste names and emails, or upload the CSV your old tool exported. Headed files are read by column name, first and last names are joined, and a plain pasted list works by the shape of the email. Imported people show an Imported badge, count as regulars to invite, and hand over to their real sign-ups the moment they make one.

Your church's own volunteers only. Every invitation they get carries the same one-click stop link as everyone else's, and the import never touches any list of ours. Help: Starting from a list.

“Can anyone take my Sunday?”

The rota question, finally answered without a group text. Turn on Swaps for a sheet, and a volunteer who can't make their spot gets Ask to swap on their change-or-cancel page: tick the spots you could do instead, add a line, send. Everyone on those spots gets one email with a Yes, I'll swap button. The first to press it trades places with the asker in one step, both get a confirmation with their new spot, and anyone who clicks later sees it's handled. Open and completed swaps show at the top of your Sign-ups tab. Off by default, on every plan.

Why opt-in? A potluck doesn't want it; a rota does. And why not let people move themselves into an empty spot? That's a different, simpler feature, still on the roadmap; a swap is for when the spots are full and someone has to take yours. Help: Let volunteers swap spots.

Common questions

Is the roster link safe to text?
It's a secret address, not a login: anyone who has it can see the roster, and nobody can change anything from it. Share it with the people who need it and turn it off (or make a new one) when the event is past. Both revoke every copy at once.
Who can import a list, and who can be on it?
The account owner, and only your church's own volunteers — people who expect to hear from you. Duplicates are skipped, bad addresses are reported, nothing is emailed by the import itself, and imported people are never added to any mailing list of ours.
What if two people say yes to a swap?
The first yes trades the spots in one step; the second sees that it's been handled. The two sign-ups have to fit each other's spot — a +2 can't trade into a spot with one seat left — and both people get a confirmation with their new spot.
Does a swap touch my Planning Center schedule?
It doesn't need to. A sheet's link to a Planning Center team, Breeze tag, or CCB group schedules people onto the sheet's event, not onto a particular spot — and a swap stays inside one sheet. Both people were on the schedule before the swap and both still are.
