two more for the toddler rooms
Ask your whole People list, minus the people already serving
A children's ministry director runs three services every weekend and seven rooms at the 9:30, each with its own count and arrival time. Thursday night, two toddler rooms are still short for Sunday. She wants to tell everyone who serves, in her own words, with the link. But the people already in a room on Sunday shouldn't get “we need you.” Until now SignUpChurch could email the people on a sheet, or send one canned last call to everyone who wasn't on it at all. On a sheet that runs August to December, neither one fits that Thursday.
Ask everyone, minus the people already there
On a sheet's Sign-ups tab, press ✉️ Message volunteers and pick Your People list: everyone on your People page with an email who hasn't opted out. Then:
- Tick the spots you're asking about, or none for the whole sheet. Each shows how many places are open, and the email lists the ticked ones that still have room, with day and time.
- Leave out people already signed up, ticked to start. Choose on the same day and anyone serving any service that day is left out, but the volunteer who has the 30th still hears about the 23rd. Or choose for the spots I ticked. Untick it to email the whole list.
- Write it and check the count. The button says exactly how many people it will reach before anything sends.
Each email carries your words, the open spots, a See the sign-up button that opens the sheet with their name and email already in the boxes, and a one-click link to stop these emails. Replies come to you. It isn't once per sheet, so a season-long schedule can ask again next Thursday.
Tell everyone when a sheet opens
Publishing a new season's schedule used to mean opening the invite card and sending. Now there's a box beside Publish: Email my People list that it's open. Tick it and everyone who could be invited gets the same personal invitation the moment the sheet goes live. It starts unticked, so publishing to check your work never emails anyone.
Reminders that say which service
If you lay a weekend out as one section per service with a slot per room, the reminder used to say only “Room 4.” Now it says “9:30 service — Room 4,” with the date and the slot's own time, in the email and the day-before text.
Your sign-ups on the home screen
Your church page and every sign-up link now offer Add to Home Screen. On Android it's one button; on iPhone a short note shows the two taps. The icon is named for your church and opens straight to your sign-ups, with no app to download and no account.
Common questions
- Who can send to the People list?
- The account owner, on Basic and Pro. It speaks for your church to everyone who has served, the same line invitations and the last call draw. Any admin can still message the people signed up on a sheet.
- Who gets left out?
- Your choice. By default, anyone already signed up on the sheet. Tick spots and you can leave out only the people serving that same day, or only the people on the spots you ticked. Or untick the box and email everyone on the list. Anyone who used the stop-these-emails link is never included.
- How is this different from the last-call blast?
- The last call is one button, our words, once per sheet, to everyone not on the sheet. This is your words, about the spots you pick, leaving out whoever you choose, as often as the daily message limit allows. Both stay.
- Does it text people too?
- Not yet. Volunteers agree to texts for their own day-before reminder only, so this is email. Texting your list is on the roadmap.
- Do reminders really say the service now?
- Yes. When a slot sits inside a section, the reminder email and the day-before text name both, like “9:30 service — Room 4,” with the slot's own time and the date.
