the front lot is closed
Message your volunteers, right from the sheet
You have twenty-two people signed up for Saturday. The city just closed the front lot. You know where they should park; you have no way to tell them except copying twenty-two addresses out of the roster and into Gmail, where half of them land in Promotions. That gap was the single biggest thing missing from SignUpChurch once a sheet filled up. It's closed.
What you can do with it
- Logistics. “Park in the back lot.” “Wear the blue shirt.” “Doors open at 7:30 for setup.”
- A note to one team. Tick only the nursery slots and tell them the background-check form is in the office.
- Thank-yous. After the event, one message to everyone who served. There's a Start from a thank-you note button that drafts it; edit it, send it.
- Follow-ups on a form. On a connect card or an interest list, the button reads “Message everyone who responded.”
What the volunteer sees
“A message from First Church,” the sheet's title, your words exactly as you typed them (line breaks kept, links clickable, nothing else dressed up), and your name with a note that replying reaches you. Under that, their own spots on the sheet with dates and times and a change-or-cancel link for each, so a message that ends “can you still make it?” has a one-click answer.
The part we sweated: the record
Several leaders often share one sheet now. The question that follows “did anyone tell them about parking?” is “who, and what did they say?” So every send is recorded under the card: subject, sender, date, how many people, which slots, and the full text behind a click. The record stays even if the admin who sent it leaves the church.
The walkthrough, with who is and isn't emailed, is in Message your volunteers. Volunteers can read about the emails they get in every email you can get.
Common questions
- Who gets it?
- Everyone signed up on the sheet with an email, once each — or only the people on the slots you tick. RSVP “no” answers are left out. The button shows the exact count before you send.
- Who can send one?
- Any admin, on Basic and Pro. Invitations and the last call reach your whole People list and stay owner-only; a message reaches one sheet's volunteers, which is a sheet manager's own job.
- Where do replies go?
- To the admin who wrote it. The email names them and sets Reply-To to their address.
- Is there a limit?
- Ten messages a day per account, five hundred people per message. Enough for a church; not enough for a mistake to become a mail-bomb.
