one email, not forty
Sign-up emails on your schedule — daily and weekly roundups, and a mute that's only yours
A church running six forms at once asked us a fair question: why is the only choice between an email for every single sign-up and no emails at all? A weekly meal train doesn't need forty pings on a Sunday afternoon — and the youth director doesn't need any of them. So sign-up emails now have a schedule, and every admin has their own switch.
Every sign-up, daily, weekly — or off
Dashboard → Notifications now asks how often the admins hear about sign-ups rather than whether they hear at all. Pick every sign-up as it happens (what you have today), a daily roundup, a weekly roundup on Mondays, or off.
A roundup is the same email you already get, collected: every sign-up since the last one, each with the volunteer's name and contact details, everything they picked, quantities, and their notes. It goes out in the morning, US time — daily ones every day, weekly ones on Monday, right alongside your Monday summary. A form that picked up nothing new sends nothing at all, so a quiet week stays quiet.
Cancellations ride along. When someone gives a spot back, the roundup lists them under Gave up a spot — so a form set to weekly really is one email a week, and a spot opening up still reaches you with time to refill it. On the instant cadence, a cancellation emails you the moment it happens, exactly as before.
Per form, because your forms aren't alike
The account setting is only a default. Every form's editor has a New sign-up emails card that overrides it for that form alone — so the weekly meal train reports once on Monday morning, the nursery rota sends a daily roundup, and the Christmas Eve sign-up still pings you the second someone claims a spot.
And a mute that's only yours
Until now, the switches were account-wide: one admin who wanted out of the sign-up emails had to turn them off for everyone. The new Just for you card on Dashboard → Notifications mutes the sign-up and cancellation emails, the Monday summary, or both — for your login only. Everyone else keeps exactly what they had.
Two things deliberately ignore it. Emails about something that needs fixing — a ChMS sync that couldn't write a record, password resets, billing — always come through. And volunteer emails are untouched: confirmations, reminders, cancellation links, and waitlist offers work exactly as before.
