One sheet for every Sunday, scheduled in Planning Center Services

Volunteers want to see every Sunday a greeter is needed and pick the weeks that work. Until now, a sheet linked to a Planning Center Services team matched one plan — the one on the sheet's event date — so scheduling a season meant a separate sheet for every week. A pastor wrote in to say that didn't fit how his volunteers sign up. He was right.

The short version: A sheet linked to a Planning Center Services team now schedules each sign-up onto the plan matching the date of the slot they picked. Give each slot its own date and one sheet covers every Sunday: a volunteer who picks three weeks lands on all three plans, as Unconfirmed. Slots without a date still use the sheet's event date. Pro.

One sheet, every week

Build your Greeters sheet with a slot for each Sunday and give each slot its own date (or put each Sunday in a dated section, and its slots pick the date up). Then, on the sheet's Settings tab, link it to your service type and team on the Planning Center Services card — once.

From then on, each sign-up goes to the plan for that slot's day. Someone who signs up for the 9th, the 16th, and the 30th is added to those three plans, on the team you picked, as Unconfirmed — so your team leaders still confirm like any other scheduling request. Cancel one Sunday and they come off that one plan.

What stays the same

A sheet with no slot dates works exactly as before: every sign-up goes to the plan on the sheet's event date. If a slot's date has no plan in Services yet, that sign-up shows No matching plan and the volunteer still syncs to People. And Planning Center still only lets us schedule people who are already in Services — a brand-new volunteer shows Not in Services yet until you add them to the team, then Try again schedules them.
